Affiliates are select non-profit organizations that wish to help promote flag sales for the Field of Honor®. Approved Affiliates receive a portion of the proceeds for their fundraising efforts based on the number of flags sold through your organization. Your school club, church, or non-profit organization can become an “Affiliate” through which people can order flags and your organization shares in the revenue as a fundraiser.
NOTE: All previous affiliates must re-apply for 2022!
Affiliate Agreement for Field of Honor® Flag Sales
This agreement is between the Rotary Club of Georgetown TX Foundation Field of Honor® (FOH) Committee (Host) and the named Affiliate, as a Rotary Club Affiliate Fund Raising Group (RCAFRG).
The above mentioned RCAFRG has the permission of the Host to promote flag sales (for $45 each flag, plus $10.00 shipping if selected by the purchaser) on behalf of the Host from May 1, 2022, through Nov 12, 2022, for the 2022 Georgetown Field of Honor® (FOH) – a licensed event throughout Central Texas.
I. The RCAFRG will actively promote online flag sales for $45.00 each. The Host will donate a portion of the proceeds per flag sold by the RCAFRG to the RCAFRG within 30 days of the completion of the 2022 Field of Honor® event and reconciliation of funds received.
II. A portion of the flag sales proceeds will be donated by the Host to the RCAFRG. The amount donated to the RCAFRG will depend on the total number of flags sold by the RCAFRG by November 12, 2022. The per-flag donation to the RCAFRG by the Host will be paid only for flag sales and not for any supplemental donations or SWAG sold at the Field.

III. A RCAFRG that provides a total of 20 hours (or more) of qualified volunteer time at the Field of Honor® between November 3, 2022 (beginning with flag assembly at the VFW on the 3rd and field set-up on the 4th) and November 13, 2022, will receive an additional two dollars per flag on the payout rate as specified in the in section II. The volunteers will submit their time to the Affiliate Chair who will track and verify service rendered on the day(s) that volunteer services are provided. Details of the signup process will be provided to the RCAFRG prior to September 1, 2022. Volunteer time is not included for attending any FOH committee meetings (not required).
IV. RCAFRGs that have participated in prior Field of Honor® events can further increase their fundraising totals by retrieving flags for reposting from individuals that previously purchased flag(s) through the RCAFRG. The flag(s) must be in perfect condition on their pole(s) along with the dedication tags from the year last flown at the FOH. The RCAFRG must collect the $20.00 reposting fee per flag and deliver the complete flag assembly, dedication tag, and reposting fees for each flag between November 5 and November 11, 2022 between 9:00 a.m. and 7:00 p.m.
The HOST will provide the RCAFRG two dollars per repost flag that is in perfect condition that is brought to the field with payment at the designated times. Payment to the RCAFRG will be made within 30 days after the close of the event.
V. The Host will provide materials, training, and reports to support flag sales by the RCAFRG. The RCAFRG commits to a minimum of five online flag orders completed by November 12, 2022. If the minimum of 5 flag orders has not been secured by 11/12/22, the RCAFRG forfeits compensation for any flag sales.
VI. The RCAFRG organization name will be added to the FOH website list of Affiliates upon receipt of at least 5 flag orders. The RCAFRG name and will also be listed in the FOH Keepsake Program and will be acknowledged on the Affiliate banner at the FOH if the minimum of five flags have been sold online by the RCAFRG by the printing deadline of October 15, 2022.
VII. RCAFRGs will be invited to attend a Rotary Club of Georgetown lunch meeting in early 2023 and will be recognized. The top three overall Affiliate flag sale producers will be included in a final event press release as top FOH Affiliates.
VIII. Upon receipt of a signed RCAFRG Agreement, the Host will provide the RCAFRG with the following support materials to assist the RCAFRG with their sale efforts:
- A dedicated RCAFRG URL (link) to the FOH website for the RCAFRG to use on their website and other materials to promote online flag sales. When the RCAFRG URL is used to purchase a flag, the system will automatically add the purchase to credit the RCAFRG through whom it was purchased and will count toward the total number of flags sold by the RCAFRG. An electronic, printer-ready version of the Field of Honor® rack card will be provided (so that the RCAFRG can print color copies as needed). Printing must be in color on at least 24 lb. paper.
- A supply of up to 50 pre-printed Field of Honor® rack cards and can be requested and picked up by arrangement with the Host committee chair, Nicholas Leschke.
- Posters will be provided upon availability as requested and picked up by the RCAFRG by arrangement with the Host Affiliate Committee Chair.
Note: Any use of the FOH name or logo must follow style guidelines as this is a licensed event.
IX. The RCAFRG will designate a member of their organization to take the lead on promoting flag sales through their Club, to answer questions and assist members and flag purchasers with online ordering, and to serve as the Club liaison to communicate with Affiliate Chair, Nic Leschke.
X. The RCAFRG is required to use the aforementioned dedicated URL link in their efforts to promote flag sales to prospective flag buyers to ensure proper credit is given to the RCAFRG. The RCAFRG is also allowed and encouraged to place the dedicated URL on their Club’s website and social media with appropriate language that encourages visitors to support them through flag purchases. A QR Code may also be created by the RCAFRG for this purpose.
XI. If a flag buyer goes directly to the Georgetown TX Field of Honor® website rather than through the dedicated URL, and orders a flag or flags, the buyer must check the RCAFRG organization name under the “Affiliate Sales” drop-down box at the time of the checkout process in order to receive Affiliate credit for the purchase. Note: Flag sales cannot be retroactively credited to the RCAFRG. No credit can be given to the RCAFRG if the purchaser fails to mark the RCAFRG name if they do not use the dedicated URL.
XII. Upon request, the Host will send monthly reports to the RCAFRG of online orders received.
XIII. All flags will be set up on November 4, 2022, at San Gabriel Park Activity Field on Chamber Way, and will remain on display through November 12, 2022. Dedication tags for orders that have been received and created prior to the set-up day will be attached on November 4 and 5. The RCAFRG will encourage purchasers to pick up their flags at the Activity Field in San Gabriel Park on Saturday, November 12 beginning from noon to 5:00 p.m. or Sunday, November 13, 2022 between 9:00 AM and 5:00 PM. Flags not picked up by 3:00 p.m. on 11/13/22 become the property of the Rotary Club of Georgetown. Flags and poles can be brought back the following year (if they are in perfect condition) to be re-posted for a $20 donation. This fee may be increased from year to year at the discretion of the Rotary Club of Georgetown Foundation Board of Directors.
XIV. The Host and the RCAFRG agree to the terms and procedures outlined in this agreement.
